Importing VMP Documents

Use these instructions to learn how to import VMP documents into your MortgageWare system.

When you receive your documents purchase, you should receive the following items:

Overview of Importing VMP Documents

Importing VMP documents is a three-step process:

  1. Standardize your Custom Data Field names to match those from VMP using the list of Custom Data Fields you receive. You don’t have to perform this step if you have never imported documents from VMP or INTERLINQ before, or if you have already standardized (as described below) your Custom Data Fields.
  2. Import data from the Setup disk.
  3. Import the new VMP documents that are on the Documents disk(s).

Standardizing Your Custom Data Field Names

If you have never imported documents from VMP or INTERLINQ before, or if you have already standardized your Custom Data Fields go directly to the next step "Importing Data from the Setup Disk." Otherwise, you must standardize your Custom Data Fields.

Custom Data Fields needed for documents you purchase are provided to you on the Setup disk you receive. Because your MortgageWare system may already contain some or all of these Custom Data Fields, you must make your existing Custom Data Field names take on the same names as those that you receive. This process places your existing Custom Data Fields on the CDL Reconciliation screen when you import the Custom Data Fields so that you can move them or rename them as you see fit. You have to perform this process only once. Even if you re-order documents from VMP, you don’t need to perform this process again. Please note that if your data types do not match VMP fields, they will not be converted to the new numbers. For this condition, they will have to be moved manually after the Custom Data Field Reconciliation process. This is discussed in the first Note on page 2.

To standardize your Custom Data Field names

  1. Install MortgageWare release 8.0 or higher, if you haven’t already.
  2. Go to the CDL (Custom Data Field List) screen.
    MAI -> SSU -> CDL
  3. Select SORT BY NAME from the ACTION field. MortgageWare sorts your Custom Data Fields by name, making it easier for you to find the names you need to change.
    Note: The range 650-999 was previously reserved for Custom Documents. In MortgageWare 8.0 and above, we are instead reserving the range 5000 and above for Custom Documents. After you finish standardizing your Custom Data Field names, you should have Custom Data Field names that exactly match the VMP list of names. After you import data from the Setup disk, you can use the CDL Reconciliation screen to move your old Custom Data Fields to the new numbers.
  4. Take the list of Custom Data Fields you receive from VMP and compare it with the list of existing Custom Data fields on the CDL screen.
  5. Change the name of each Custom Data Field that is different from the corresponding Custom Data Field on the VMP list. Do this by selecting the Custom Data Field, typing or choosing Edit from the Action field and pressing <Enter>, and then changing the name to match exactly the name you see on the list and pressing <F2> to save your change.
  6. Repeat Step 5 for each Custom Data Field that is different from what you see on your VMP list.
    Note: At this time, you may notice that you cannot edit the Data Type of the Custom Data Field. If your data type does not match VMP’s data type for a particular field, that field will not convert to the new number. It and others with non-matching data types will need to be moved manually to new numbers after the import of the Setup disk. Select "Move Data" in the CDL screen action field for each Custom Data Field and enter the destination field number, as listed in the supplied Custom Data Field list. Press "F2" to save the change.
  7. When you are done, press <F2>.
Importing Data from the Setup Disk

Importing data from the Setup disk is the second step in importing VMP documents. The Setup disk contains standard formulas, conditions, Custom Data Fields, and translation tables. Translation tables are database tables that include the new and old document names, and MortgageWare needs them to properly import third-party documents.

Note: All names of VMP formulas and conditions begin with a bracket ([). This was done to prevent conflicts with existing formulas and conditions and help you recognize the formulas and conditions that you created.

***WARNING: This process may take several hours.***

To import data from the Setup disk

  1. Insert the Setup disk you receive from VMP into drive A or B.
  2. At the system prompt for the drive on which MortgageWare is located, change the directory to \MW\BIN (for example, C:\MW\BIN>), type MWIMPORT and press <Enter>. The Data Import screen appears.
  3. In the Type of import field, select DOCUMENT PACKAGE. An easy way to do this is to type DOC and press the right arrow key once.
  4. In the Disk identifier field, select the drive in which the VMP disk resides (usually A or B) and press <F2>. MortgageWare imports the formulas, conditions, translation tables, and Custom Data Fields. If your system has any existing Custom Data Fields that match the names of Custom Data Fields being imported, the CDL Reconciliation screen appears. If this screen doesn’t appear, you don’t have any Custom Data Fields to reconcile and you can go to the next step "Importing the VMP Documents."
    Note: The Run automatic deletion of superceded documents and forms field appears whenever you select DOCUMENT PACKAGE. This field affects only the importing of documents, so you can ignore it when you are importing setup data.
  5. On the CDL Reconciliation screen, do one or a combination of the following:
Note: The \mw\log file reports all Custom Data Fields that you moved or skipped during the import process. To access this file, go to the View Log File (VLF) screen (CON -> VLF) and select the file titled "Main Log."

After Importing the Setup Disk

After you import the Setup disk, you can later go into MortgageWare and manipulate your Custom Data fields on the CDL screen. For example, in addition to adding, editing, deleting, and erasing data from your Custom Data Fields, you can select from the following options:

Importing the VMP Documents

After you import data from the Setup disk, you are ready to import the new VMP documents.

To import the VMP documents

  1. Insert into drive A or B the Documents disk you receive from VMP. If you receive more than one disk, insert the first disk in the set.
  2. At the system prompt for the drive on which MortgageWare is located, change the directory to \MW\BIN (for example, C:\MW\BIN>), type MWIMPORT and press <Enter>. The Data Import screen appears.
  3. In the Type of import field, select DOCUMENT PACKAGE. An easy way to do this is to type DOC and press the right arrow key once.
  4. In the Disk identifier field, select the drive in which the disk from VMP resides (usually A or B) and press <F2>. MortgageWare imports the custom documents and laser forms and displays the system prompt when it is done.
  5. The Run automatic deletion of superceded documents and forms? field will appear anytime DOCUMENT PACKAGE is selected as the type of import. You are given the option of having the system automatically delete the documents and forms that are being replaced by the ones being imported. Select YES if you want to remove them, or NO if you choose not to remove them automatically during import. You can later go to the Third-Party Document Cleanup (TDC) screen to view which documents and laserforms are listed as superceded. While it is possible to delete the documents and laserforms from the TDC screen, it is recommended to do the import over again and select "Run automatic deletion of superceded documents and forms?" at the import screen. If you choose to delete from the TDC screen, you may delete newly imported PCL files that contain the image of the laserforms. If this happens, simply locate the diskettes with the PCL files and copy them directly to the thirdpty subdirectory. The TDC screen uses the translation tables that were imported as part of the DOCUMENT PACKAGE Setup Disk import to determine which documents on your system have been superceded. The TDC screen also determines which laser forms to remove by looking at which LFGs are linked to the superceded documents.

After Importing the Documents Disk(s)

After you import the VMP documents, please note the following changes:

Document Set Definitions (DSD)

The old Note (NOT) documents in MortgageWare have the addendum and/or rider as part of a single document. VMP delivers them as separate documents. Because INTERLINQ doesn’t know which document sets would need an addendum (ADN) or rider (RID), MortgageWare automatically:

Document Selection Editor (DSE)

MortgageWare revises any entries for NOT or MDT by replacing the old document name with the name of the new document being imported. It also adds ADN and RID records as necessary, but only if the appropriate ADN or RID is being imported.
