DOUBLE DATA WORK AROUND

After an import, VMP documents may print with an extra set of data a few micas away from the normal print location or with data from two different documents that print together on one form. These documents are not delivered to you this way but have been combined together during the import process.

This problem can be corrected by doing the import again. However, there are times when just doing the "Document Package" import over again does not solve the problem. In these cases it is better to import the data-mapping file (.DGN) in a different way to prevent the problem from occurring.

Instructions for "Double Data" work around:

  1. Insert the UPDATE DOCUMENT DISK containing the problem form into drive A or B on your machine.
  2. Open a DOS window
  3. Search for the corresponding DGN file. If the problem form is VMPC6(CO) then the corresponding DGN file is C6CO.DGN. To search for this file, type DIR A:C6CO.DGN at the system prompt.
  4. Copy the DGN file to your desktop or to the C: drive. At the system prompt, type COPY A:C6CO.DGN C:
  5. Copy the DGN file from your desktop or C: drive to a clean, blank, empty diskette in drive A or B. At the system prompt, type COPY C:C6CO.DGN A:
  6. Rename the DGN file on the diskette to DOCGEN.EXP. At the system prompt, type "rename A:C6CO.DGN DOCGEN.EXP"
  7. DELETE the Document in MortgageWare at the CDG screen just before re-importing the form. (To delete a document from your system follow steps a though f in DELETING A CUSTOM DOCUMENT FROM YOUR MORTGAGEWARE SYSTEM.
  8. Import the DOCGEN.EXP file from DRIVE A: using the same process, as you would Import any update from a disk, except select DOCUMENT as the type of import instead of Document Package.

IMPROVED IMPORT TIME FOR THE SETUP DISKETTE

The CDL.EXP file on the setup diskette was changed to decrease the size of the file and to reduce the time it takes to import the file. This file now contains only the Custom Data Fields required for each form in the current order. However, the first order for each client will have an additional 324 Custom Data Fields that are required to standardize your Custom Data Field list. The 324 CDF numbers are #5000 through #5347 and include #8260. Note that not all of the numbers are used between 5000 and 5347. After the first VMP order these 324 CDF’s will not be shipped again.

A new CDF.EXP file is created prior to shipping each order. This CDF.EXP file contains only the CDF’s used in the ordered forms and only those that are above #5347. This means that you may receive the same Custom Data Fields that you received on previous orders if the Custom Data Fields are above #5347.

Even though the import time should be shorter than it has been in the past, there can be instances where the import time may be unusually long. The number of customer applications in the MortgageWare system and CDF’s in the imported CDL.EXP file will have a direct affect on import time for the setup diskette. If the import of the CDL.EXP file appears to take too long, do not terminate the import. Terminating the import for the CDL.EXP file before it is finished will cause the categories for custom data fields to be temporarily mixed up. The category names will tend to act like category "ALL". Fortunately, the categories will return to normal when the CDL.EXP file is allowed to fully import.

AUTOMATIC DELETION OF SUPERCEDED DOCUMENTS AND OLD LASER FORM NAMES IN THE LFG SCREEN

Old VMP laser form names are not automatically deleted from the LFG screen list when importing replacement document names. The old document names in the CDG screen are normally auto deleted, but the outdated laser form names in the LFG screen will require special handling in order to remove them.

If upgrading to Tech 54 from Tech 53 documents, the tendency is to delete the old Tech 53 laser form names from the LFG screen in order to clean up the system. This should not be done for VMP documents because the Tech 53 and Tech 54 documents use the same PCL file for the laser form page. There is a "work around" to delete the outdated form names from the LFG screen without deleting the PCL files.

The safest way to remove the old form names from the LFG screen listing is to delete the old TBL file names from the "\mw\dat\forms\thirdpty" subdirectory and then run the linking utility. The TBL files provide the MortgageWare program with the link between the LFG screen name and the PCL file. When the old TBL files are deleted and the linking utility is executed, the old form names as provided in the TBL files are automatically removed from the LFG screen list.

Each VMP TBL file name contains the VMP form number. Tech 54 TBL file names have the letter "C" as a prefix to the VMP form numbers to distinguish them from Tech 53 TBL file names. The letter "C" is also a prefix to the VMP form numbers displayed in the Tech 54 names in the LFG screen.

Here is the procedure to follow when deleting an old LFG screen name using the VMP1525 as an example:

  1. At the LFG screen, determine the VMP form number.
    a. The VMP1525 Tech 53 name is "NOTICE SPECIAL FLOOD HZD-1525".

    b. The VMP1525 Tech 54 name is "NOTICE SPECIAL FLOOD HZD-C1525".
    c. Note the letter "C" just before the VMP number in the Tech 54 name.
  2. Using the VMP numbers displayed in the LFG screen, the TBL file names can be determined.
    a. The TBL file name for the Tech 53 form is "1525.TBL".
    b. The TBL file name for the Tech 54 form is "C1525.TBL".
  3. Delete the Tech 53 file "1525.TBL" in the "\mw\dat\forms\thirdpty" directory.
  4. Run the linking utility.
    a. Change the default directory to "\mw\bin" before running the command.
    b. The command, always entered in lower case, is "mw /b linkinit.x".

After this procedure, the superceded Tech 53 name should not be listed in the LFG screen.

CUSTOM DATA FIELD CATEGORY "ALL"

Custom Data Fields (CDF) used in VMP documents are imported into your MortgageWare system from the setup diskette. These VMP CDF’s are in a file named CDL.EXP. As currently supplied, there is no category description contained in the CDL.EXP file. The category description is stripped out of the file before it is sent to the customer to keep from overwriting your MortgageWare category description. However, if importing a CDF for the first time, that CDF will automatically be assigned a category of "ALL" by the MortgageWare software. Once the CDF has been imported, the category for the CDF can be changed to the appropriate selection.

If Custom Data Fields with category "ALL" are a problem, the category should be edited to another name. There is no easy way to edit the category for a block of CDF numbers. Each CDF category field must be edited and saved one at a time. If the use of the CDF has not been established yet, a CDF category such as "MISC" or "VMP" can be used.

  1. Start MortgageWare
  2. Go to the MAI Maintenance screen
  3. Go to the SSU System Setup screen
  4. Select the CDL Custom Data field List
  5. Choose the CDF you wish to Edit
  6. Type EDIT in the action field
  7. Tab down to Category
  8. Select a category or enter a new category for the CDF

As with any custom changes, the CDF’s with category should be exported to a file and saved on a floppy diskette.

THIRD-PARTY DOCUMENT CLEANUP SCREEN

The Third-Party Document Cleanup (TDC) screen can be used to delete outdated documents and laser forms. However, for VMP forms, it is better to use the TDC screen as a tool to determine if there are any outdated documents in the system that could have been deleted during a Document Package type of import. When the TDC screen is checked and if any documents are listed there, it is because a "YES" response was NOT entered at the import screen for the "Run automatic deletion of superceded documents and forms?" field. If any listed documents have a Tech 53 name, it is best to run the import again and enter "YES" to the auto-deletion field. An explanation for this is discussed in the next paragraph.

Note: Tech 53 forms do not have the letter "C" as a prefix to the VMP number in their form name. Also Tech 53 documents used VMP Custom Data Fields from #650 through #697.

The reason it is best to do the import again and not deleting from the TDC is because Tech 53 and Tech 54 documents, in most cases, share the same PCL file that prints the image of the laser form. If the Tech 53 version of a form is deleted in the TDC screen, the PCL laser form file used by both the Tech 53 and Tech 54 documents will be deleted and an error will be generated when printing the Tech 54 version of the form. If this does happen, it can be fixed by copying the necessary PCL files from the "Document" diskettes to the path \mw\dat\forms\thirdpty.

An advantage to doing the import again and entering "YES" to the auto-deletion field is the outdated documents are replaced in the document sets as well as being deleted from the CDG screen. However, the laser forms for these documents will not be deleted in the LFG screen. Refer to the document "AUTOMATIC DELETION OF SUPERCEDED DOCUMENTS AND OLD LASER FORM NAMES IN THE LFG SCREEN" for instructions regarding this problem.

NOTE: If you still want to delete forms from the TDC screen after reading the above information, be aware that laser form names longer than 27 characters will not be deleted from the LFG screen. Only the first 27 characters of the laser form names will be displayed in the TDC screen list of outdated documents. If the full name of the laser form is not displayed when selected for deletion, that name will not be deleted from the LFG screen. However, the linked docgen form will be deleted from the CDG screen even if the laser form is not deleted from the LFG screen. To completely delete the form from MortgageWare, go to the LFG screen and delete the laser form name.

TERMINATING THE SETUP DISKETTE IMPORT BEFORE IT IS FINISHED

In some cases, the setup diskette may take a long time to import. Because the import takes so long, the person performing the import may terminate the import believing the diskette is corrupted. However, in most instances there is nothing wrong with the setup diskette. Terminating the import of the setup diskette, however, can have a disastrous affect, although only temporary, on the Custom Data Field (CDF) categories.

Once the import of the Setup diskette is terminated, the existing CDF’s act as though they have been set to category "ALL". As most users of MortgageWare already know, CDF’s with category "ALL" show up in every other category and make it difficult to know which CDF’s are required to have data entered into them at the Edit Processing Data (EPD) screen. Fortunately, if the import is started again and allowed to complete normally, the categories return back to normal.

Avoid terminating the Setup diskette if possible. If absolutely necessary, you can terminate the import prematurely, but be aware that the categories may get mixed up. A simple fix for this condition is to export one CDF and import it immediately. This will cause the mixed up categories to return to normal.

THIRDPTY LASER FORM NOT FOUND ERROR

Occasionally, an error may occur because MortgageWare cannot locate the form page to print. If the file representing the page is verified to exist in the \mw\dat\forms\thirdpty subdirectory, the linking utility can be executed to force MortgageWare to re-link the files. This linking utility syntax is:

mw /b linkinit.x

Note: The command must be entered in lower case and at the \mw\bin subdirectory.

Sometimes the linking utility does not work and another step is required to make the laser form print correctly. If the first execution of the linking utility does not cause the laser form to print, there is a file in the \mw\dat directory that should be moved to a safe directory so the linking utility will force MortgageWare to rebuild this file from scratch. The file name is LINKTABL.D. Do not delete this file, but move it to another directory. It can be deleted later if the second execution of the linking utility fixes the printing problem.

DOCUMENT PACKAGE IMPORT LOG

Always check the Document Package Import Log to verify the imported names of documents and laser forms. Other information may also be logged such as I/O errors that are not listed to the screen during the import.

To see the contents of the Document Package Import Log, enter the Connectivity screen from the Main screen. Next, enter the View Log File screen. Finally, highlight the Document Package Import Log and press enter.

CON -> VLF -> Document Package Import Log

The contents of the most recent import will be listed at the end of the log. The form names displayed under the heading of "documents" are the same names that are listed in the Custom Document Generator (CDG) screen. The names that are listed under the heading of "laser forms" are the same names that are listed in the Laser Forms Generator (LFG) screen.

Tech 54 customers doing the setup import will not see any logged items imported from the setup diskette. Only a start date and time and a Document Package Import complete will be logged for the Tech 54 setup diskette.

AUTOMATIC DELETION OF SUPERCEDED DOCUMENTS

During the Document Package import of VMP forms, a field will pop up asking the question, "Run automatic deletion of superceded documents and forms?". If you don’t see this field, press the ENTER key or the TAB key to display this field. This auto-deletion feature applies only to VMP standard documents and some outdated INTERLINQ documents. It will not auto-delete custom documents that VMP has created for you, or any documents that you have created.

If you answer YES to the automatic deletion, then the outdated documents listed in the auto-deletion table file are deleted, but only if the replacement document names, as listed in the auto-deletion table file, are imported from the "document" diskette.

VMP "LASER ONLY" FORMS

Click on the "LASER ONLY" forms link to see a list of VMP "Laser Only" documents. Laser Only means that the MortgageWare program does not collect data for most of the fields required in these forms. In most cases, the coordinates have been entered as "Customer-Defined Text" (CDT) fields. You may wish to add Custom Data Fields (CDF) in the Custom Data Fields List (CDL) and change the CDT fields in the forms to CDF fields.

CONVERTING TECH 53 CUSTOM DATA FIELDS TO TECH 54

There are 323 Tech 53 Custom Data Fields (CDF) numbered from #650 through #997. In contrast there are many more Tech 54 CDF’s with the first one starting at #5000 and the last one currently ending at #8276. When a customer converts to Tech 54 documents, the CDF’s in the number range of #650 through #997 must be converted to the Tech 54 number range of #5000 to #5347.

The VMP Tech 54 import instructions cover the conversion of the CDF’s at #650 through #997, but not all CDF’s will convert to the new numbers even though the user may take great care to follow the instructions exactly. If you have completed the conversion to Tech 54 and not all of your CDF’s have converted, the following steps should be taken to determine why the CDF’s did not convert.

There are three reasons that CDF’s do not get renumbered during the conversion process:

  1. A Custom Data Field name looked like a match, but in fact was not exactly the same as listed on the VMP CDF list that accompanies the import instructions. This will keep the conversion of the customer’s CDF from occurring because the INTERLINQ software did not find an exact match between the customer’s CDF and VMP’s CDF on the setup diskette. Because no match was found, the software makes the decision that the CDF did not exist in the customer’s database. When this happens, the software imports the CDF supplied by VMP from the setup diskette instead of converting the customer’s CDF to the new number.

  2. To fix this type of problem, the newly imported VMP CDF should be deleted instead of deleting the customer’s CDF. Next, correct the spelling of the customer’s CDF to match the list from VMP. Finally, with the existing CDF highlighted in the CDL screen, select "MOVE DATA" in the Action Field. Move the CDF to the new number listed in the Custom Data Field list.
    The Custom Data Field name is an exact match, but the data type is different from the VMP data type. Frequently this occurs when the VMP data type is "Text" and the customer’s data type is "X or blank". Data types other than "Text" cannot be converted to another data type.
    The solution is to select "Move Data" in the Action Field and move the CDF to the correct number as listed in the Custom Data Field list. There is no need to delete a VMP CDF number because the INTERLINQ software correctly realized that the CDF name was a match, so it did not add the VMP CDF. However, it did not move the existing CDF to the new number because the data type could not be converted to text.

  3. Sometimes there are CDF’s that exist in the number range of 650 through 999 that do not come close to matching any CDF on the VMP list. If you find this condition, do not change the existing CDF name to make it match because it is probable that the existing CDF is used for an entirely different purpose. The software will ignore any CDF name that doesn’t match exactly.

PREVENTING UPDATE IMPORTS FROM
OVERWRITING MODIFIED DOCGEN FORMS

Customers have the ability to modify the docgen for VMP forms in the Custom Document Generator screen. If the customer receives and imports an update for their modified forms, all modifications to the forms are lost. There are some steps that the customer can take to prevent the loss of the changes that have been made to their forms. Three different methods of preventing the loss of modified forms are listed below.

Method #1 - Export modified versions of VMP forms.

  1. Export all modified docgen files to floppy diskettes before importing VMP updates.
  2. Import the VMP updates.
  3. Import the modified versions back into MortgageWare.
  4. Test print the forms with the updated laser forms and modified docgen files.

Method #2 - Copy modified versions to a new form name.

  1. Copy modified docgen files to a new name using "Copy a custom document" at the CDG screen.
  2. Import the VMP updates. Both modified and original docgen files are linked to the same laser forms.
  3. Test print the forms with the updated laser forms and modified docgen files.

Method #3 - Prevent the VMP docgen files from importing (preferred method).

  1. Rename the DGN extension type files, supplied on the update diskettes, to DG_. This will prevent MortgageWare from recognizing and importing the updated DGN files.
  2. Import the VMP updates.
  3. Test print the forms with the updated laser forms and modified docgens.

NOTE: There are two control dates that VMP applies to the forms. These two control dates always match for the year and month. One control date is imbedded in the laser form and printed to the right of the VMP form number. The other control date is added to the printout from the docgen file. If the customer does not update the docgen file, these two control dates will not match. This may cause confusion for a product support analyst if he/she is called for help with a document that has not been updated in the normal way. If you use any of the above methods to keep your modified docgen from being updated, make sure that you tell the product support analyst that you did not import the revised docgen file.

Each VMP update comes with an Update Report. Check the Update Report for the description of the changes made to the documents. If the Update Report indicates that there are "no data point spacing changes" for a particular document, then the modified docgen file should not cause any problems when it is imported back into MortgageWare. However, if there are data point spacing changes to a document, it is likely that some kind of text and data field misalignment will exist.

HELP FOR VMP FORMS / INTERLINQ FORMS

If technical support is required for VMP forms, make sure that the document you are calling about shows a VMP logo in the lower left corner of the document. VMP standard forms will always have the VMP logo printed at the lower left corner. If the letters ISC are printed at the lower left corner of the problem document, please call INTERLINQ for help.

LONG IMPORT TIME FOR THE SETUP DISKETTE

The import process can take a long time in some MortgageWare systems. The import time can be improved by copying the MortgageWare folder from the server to a fast standalone computer and then completing the import on the standalone computer. Once the import is finished, the MortgageWare folder on the standalone computer can be copied back to the server and overwrite the original folder. The original folder should be backed up before doing this operation and all users of MortgageWare should be logged out of the program until this operation is completed.

FIRST TIME IMPORT OF SETUP DISKETTE DOES NOT ADD CDF’S 5000 THROUGH 5347

After you have imported the VMP setup diskette for the first time, you should have Custom Data Fields added to you CDL screen that range in number from 5000 to 5347 plus 8260. You may also have other CDF’s in addition to these. If you don’t have any CDF’s in the 5000 through 5347 number range, please contact VMP. The CDL.EXP file that was sent to you on the setup diskette may not contain all of the Custom Data Fields required for first time users of VMP documents. Another indicator that you may not have all of the CDF’s that you need is to check the file size of the CDL.EXP file on the setup diskette. This file should be at least 43,424 bytes or larger. If it is less than 43,424 bytes and this is your first time importing VMP documents into your MortgageWare system, you will need to contact VMP.

If it is determined that you did not receive the required CDF’s, the VMP customer service department will arrange to send you another setup diskette plus a document diskette. The setup diskette should be imported as any other VMP diskette. In this case, it is not necessary to import the document diskette. After importing the setup diskette, you should have CDF’s in the number range of 5000 through 5347 plus 8260 show up in the CDL screen.

UNZIPPING DOCUMENTS SHIPPED BY E-MAIL

When documents are sent by VMP via e-mail, the documents are compressed and stored in one file with a ZIP extension. The ZIP type file takes up less space than all of the individual files that were compressed into a single ZIP file. In order to extract the individual files from the ZIP type file, you will need a utility file that can unzip these type files. If your Technical Support department cannot supply you with such a utility, there are DOS and Windows versions of unzipping utilities available for download from the Internet.
